Executive Committee Structure & Duties 2008/2009 The elections will be held on Tuesday 11th March 2008 (week 21), 1-2PM, Room MB206 All elected members must be members of the APA. Please note there is also a drop-in session on Wednesday 5th March 1-2pm, in MB206. This is your chance to come by and speak to existing committee members and ask any questions about positions you are interested in.

Principal Officers - leading roles in the committee to provide the management, development and administrational support for the association
President: To chair committee meetings and ensure the smooth running of the organisation. Also play an active role in the co-ordination and delegation of tasks within committee members, enabling them to strive towards the same goal/s. Will represent Aston Pharmacy Association at the Staff-Student Committee and to other bodies. Must have: leadership, delegation, compromise, time keeping and organisational skills as well as sound understanding of the association. Secretary General: To be responsible for taking minutes at committee meetings, notifying of minutes from previous meetings and publication of these to members. Responsible for membership and maintenance of such records. Role also includes communicating to external organisations and internally to staff & students alike. Will co-ordinate public relations. Must have: good time-management, literary and communication skills Treasurer: To keep accounts of all incomes and expenditure in an appropriate form, ensuring over-expenditure does not occur. Accounts need to be kept in such a manner that at any time any member of the Aston Pharmacy Association can examine them. Also responsible for producing statement of accounts for auditing purposes. Will have personal responsibility for the APA account. Must have: excellent mathematical and accounting skills, understanding of accounts & statements
Co-ordinators
Junki Editor: Responsible for the organisation, design, content and publication of the regular APA newsletter, The Junki. Should ensure that the publication is innovative, easy to read and represents fairly all topics it covers. Must have: good time-management, ability to work to deadlines, excellent literary & grammatical skills as well as working knowledge of publication software e.g. Microsoft Publisher. IT Co-ordinator: Responsible for the design and maintenance of the APA website, APAonline, as well as providing general IT support to the Executive Committee. Must have: creativity & imagination, sound working knowledge of a variety of software including Word, Excel, Adobe Acrobat, Frontpage/Dreamweaver
Publicity Co-ordinator: Role includes the designing of any publicising material produced for APA events such as posters and presentations. Must have: good communication skills, creativity & imagination, sound working knowledge of a variety of software including Word, Publisher, PowerPoint, Adobe Acrobat, PaintShopPro/Photoshop
Conference Co-ordinator /s (max 2 persons): To organise the Annual Conference held by the APA, including recruitment of speakers, advertising and financing of such event. Should organise appropriate accreditation for the event. Must work closely with the Treasurer, reporting to the Executive Committee of any developments. Also to work with and provide appropriate articles to The Junki Editor. Must have: good communication and negotiation skills. Be organised and able to cater for a range of related but differing topics and/or views. Ball Coordinator/s (max 2 persons): Responsible for the organisation and arrangement of the Annual Pharmacy Ball to include venue, entertainment, catering and music. Working closely with the Treasurer, the coordinator/s will be responsible for the financing and sponsorship whilst reporting to the Executive Committee of all developments in the process. The role will also involve working alongside the IT officer to advertise the ball and provide The Junki Editor with appropriate articles regarding the event. Must have: ability to work to deadlines, good negotiation & communication skills, organisation & ability to cater for different people Events Co-ordinator: To arrange and coordinate all social and sport events organised by the APA (except academic events and the Annual Ball). Also to be involved in the financing & sponsorship, working with the Treasurer, as well as working with the IT co-ordinator & Junki Editor to advertise such events using posters and articles in The Junki. Must have: good communication skills, ability to organise events for all different types of students & staff, ability to work to deadlines, motivate students and be enthusiastic. The Year Representatives (one per year): To report the opinions, comments and suggestions from members of the APA or responsible body to the Executive Committee. Also responsible for reporting back to the peoples they represent, any feedback, decisions of the committee, event details or any other information. Roles include the distribution of The Junki and aiding in the advertising of all APA events. Working closely with the Secretary-General to ensure a consistent message about APA activities is given to all students within the Pharmacy School. Must have: Ability to gather interest for APA events and be approachable to their peers. Person is confidant to speak in front of a large audience (lecture announcements to year group). Aston University BPSA Representatives (max 2 persons): To be responsible for the activity of all BPSA members at Aston University, regardless of whether members of the APA. Also responsible for informing the APA Executive Committee of any BPSA events & activities as well as the BPSA members. Must have: Ability to gather interest for and publicise BPSA events and competitions, organisation & communication skills, knowledge of BPSA and its events. |
